Speaker Terms & Conditions1. Speaker ParticipationWe welcome speakers who possess significant expertise and knowledge in their respective fields. By participating in the conference, the speaker confirms that all information provided is accurate, original, and free from any infringement of third-party rights.
Speakers are expected to focus on educational and informative content. Any promotion of personal products or services must be approved in advance by the project manager to ensure alignment with the conference’s objectives and professional standards.
Additionally, the speaker grants the organizer the right to use their name, photo, and any video content related to their participation for marketing purposes, including but not limited to promotional campaigns, social media, and conference-related communications.
2. Presentation ContentAll presentations should be designed to provide maximum educational value to the participants. Content must be professional, directly relevant to the conference topic, and appropriate for the audience.
Promotional content is generally not permitted, but may be included in a limited capacity if approved by the organizer or as part of a separately agreed arrangement. Such content must never overshadow the educational purpose of the session. Speakers are responsible for submitting all slides, handouts, and multimedia materials by the agreed deadlines, allowing the conference team sufficient time for review and preparation.
3. Intellectual PropertySpeakers retain ownership of their content. However, by participating in the conference, speakers grant the organizer a non-exclusive, worldwide license to use, distribute, and promote the presentation materials (including slides, recordings, and summaries) for conference-related purposes. This license allows the organizer to share the content with participants, post materials online, or include them in conference publications.
4. Recording & PublicationTo ensure the widest possible audience and long-term value, sessions may be recorded, reproduced, and published online, in print, or through other media channels.
By participating, speakers agree that their presentation may be shared with registered participants or published on the official conference website, social media platforms, or other marketing channels associated with the event.
5. ConfidentialitySpeakers are expected to respect the confidentiality of all information shared during the conference, including discussions, presentations, or materials from other speakers and participants.
Any sensitive or proprietary information should be clearly communicated to the project manager to ensure proper handling and protection.
6. Compensation & ExpensesBCF will provide speakers with hotel accommodation for two nights, including check-in one day prior to the conference and check-out on the last day. Accommodation includes breakfast.
Included in your participation are: access to all conference sessions, video recordings, presentations by other speakers, coffee breaks, lunches, cocktail receptions, and other activities included in the conference program.
Please note: flights, transfers, and any additional expenses are not included, unless explicitly specified in a separate agreement.
Any honorarium, reimbursement, or compensation will be clearly defined in a separate speaker agreement, ensuring transparency and clarity regarding financial arrangements.
7. Code of ConductSpeakers are expected to conduct themselves professionally and respectfully towards all participants, fellow speakers, and organizers.
Behavior that is offensive, discriminatory, or otherwise inappropriate may result in removal from the conference program and forfeiture of speaking privileges.
8. Cancellation & ChangesBy the Organizer:
The organizer reserves the right to reschedule, cancel, or modify sessions in order to accommodate logistical requirements, program improvements, or unforeseen circumstances. Speakers will be informed of any changes at least 20 days prior to the scheduled conference.
In the event of conference cancellation, the organizer is not responsible for any penalties or costs incurred by the speaker.
By the Speaker:
If a speaker cannot attend the conference, they must notify the organizer at least 7 days prior to the event.
If the notice is provided less than 7 days before the conference, the speaker is responsible for providing a replacement at their own expense, arranging an alternative solution approved by the organizer, or delivering the presentation online.
9. ResponsibilitySpeakers are solely responsible for the accuracy, quality, and appropriateness of the content they present.
The organizer is not liable for any loss, damage, or legal claims arising from the speaker’s presentation or related materials.
10. Acceptance of TermsBy confirming participation as a speaker, the individual acknowledges and agrees to all the terms and conditions outlined above, and understands that compliance with these rules is necessary to ensure a professional, respectful, and high-quality conference experience.
